Position Overview

We are seeking a meticulous, tech‑savvy Remote Data Entry Specialist to become a vital part of our virtual team. This full‑time role operates Monday through Friday, 9 am – 6 pm PST, from the comfort of your home office. You will be responsible for transforming source documents into clean, searchable data within our secure systems, while upholding the highest standards of confidentiality and data integrity.

Key Responsibilities

  • Document Preparation: Gather, organize, and ready source documents—both paper‑based and electronic—for entry into the designated database.
  • Data Verification & Correction: Review incoming data for missing pages, discrepancies, or errors; resolve issues using standard procedures or coordinate with the team leader for clarification.
  • Accurate Data Entry: Input alphabetic and numeric information from source documents into the appropriate system, maintaining a typing speed of at least 40 words per minute.
  • Quality Assurance: Cross‑check entered data against original documents to ensure 99.9% accuracy; correct any duplication or entry errors promptly.
  • Security & Compliance: Follow all data‑program security protocols, perform daily database backups, and safeguard personal and financial information in line with HIPAA regulations.
  • Clerical Support: Perform ancillary tasks such as sorting, filing, emailing, proofreading, and other administrative duties as needed.
  • Continuous Improvement: Identify opportunities to streamline workflows, suggest enhancements to data‑entry processes, and contribute to a culture of quality.
  • Team Collaboration: Communicate effectively with supervisors and peers, sharing insights and asking clarifying questions to maintain smooth operations.
  • Ad‑hoc Assignments: Undertake additional responsibilities or special projects assigned by management, demonstrating flexibility and a proactive attitude.

Essential Qualifications

  • High school diploma or equivalent (GED accepted).
  • Minimum of six (6) months of relevant data‑entry or administrative experience, or an equivalent blend of training and hands‑on work.
  • Demonstrated proficiency with standard office equipment—computer, fax, copier, scanner, and telephone.
  • Strong command of Microsoft Office Suite (Word, Outlook, Excel) and comfortable navigating the Internet and web‑based applications.
  • Typing speed of at least 40 words per minute with a high degree of accuracy.
  • Exceptional attention to detail, with a proven track record of delivering error‑free work.
  • Excellent written and verbal communication skills; ability to convey information clearly and ask pertinent questions.
  • Commitment to maintaining strict confidentiality of all sensitive data, especially protected health information (PHI).
  • Self‑motivated, reliable, and capable of thriving in a fully remote environment.

Preferred Qualifications & Experience

  • Experience working in a medical office or healthcare‑related data environment.
  • Familiarity with electronic health record (EHR) systems or other specialized medical software.
  • Previous remote work experience, demonstrating effective time management and self‑discipline.
  • Knowledge of data‑security best practices and HIPAA compliance requirements.
  • Additional certifications such as Certified Medical Administrative Assistant (CMAA) or similar.

Core Skills & Competencies

  • Technical Literacy: Ability to quickly learn new software platforms, troubleshoot minor technical issues, and adapt to evolving tools.
  • Analytical Thinking: Spotting inconsistencies, recognizing patterns, and applying logical solutions to data problems.
  • Organizational Skills: Managing multiple document streams, prioritizing tasks, and meeting daily deadlines.
  • Team Orientation: Contributing positively to a virtual team, supporting colleagues, and fostering a collaborative atmosphere.
  • Quality Focus: Commitment to continuous improvement, proactive error detection, and adherence to quality standards.
  • Communication: Clear, concise, and courteous interaction with supervisors, peers, and external partners.

  • Opportunities to earn certifications (e.g., Certified Health Data Analyst) with company‑sponsored tuition reimbursement.
