Position Overview

Reporting to the Energy Services Program Coordinator, you will be responsible for entering, updating, and maintaining client records across multiple digital platforms. You will collaborate closely with program staff, supervisors, and external partners to guarantee that all documentation meets the rigorous standards set by arenaflex and its funders. This is a full‑time, remote position that offers flexibility while demanding a high level of professionalism, confidentiality, and accuracy.

Key Responsibilities

  • Enter and continuously update client status records in the Statewide Client Service Center, ensuring that the production pipeline reflects real‑time data.
  • Monitor incoming emails, log documents, and track communications within the arenaflex platform (formerly Monday.com), guaranteeing that every interaction is captured and searchable.
  • Adhere to program guidelines for all required database systems, including arenaflex (formerly CMS), arenaflex (formerly CSG eConservation), arenaflex (formerly HEARTWAP), arenaflex (formerly LIHEAP), and arenaflex (formerly In Demand).
  • Maintain organized digital and paper participant files in strict accordance with program policies, ensuring compliance with both arenaflex internal standards and external funder mandates.
  • Partner with program staff to streamline communication, promote consistency in service delivery, and troubleshoot any data‑related issues that arise.
  • Perform a variety of clerical duties, including filing, preparing mailings, providing phone coverage, and supporting administrative tasks as needed.
  • Remain available for remote work responsibilities: attend virtual meetings, respond promptly to emails, and fulfill regular duties in a timely manner.
  • Participate in all required staff meetings, supervision sessions, training workshops, and contractual briefings to stay aligned with organizational goals.
  • Engage in mandatory arenaflex training programs and pursue additional professional development opportunities to enhance your skill set.
  • Uphold strict confidentiality standards, safeguarding client information and organizational data at all times.
  • Perform related duties and special projects as assigned by supervisors, contributing to continuous improvement initiatives.

Essential Qualifications

  • Associate degree in a relevant field (e.g., Business Administration, Human Services, Information Management) or equivalent professional experience.
  • Minimum of two years’ experience in a human services setting, or comparable work with diverse, low‑income individuals and families.
  • Demonstrated ability to work independently in a remote environment while maintaining high productivity and accuracy.
  • Strong written and verbal communication skills, with an emphasis on clear documentation.
  • Proficiency with standard office software (Microsoft Office Suite, Google Workspace) and comfort learning new digital platforms.
  • Commitment to maintaining confidentiality and adhering to data protection regulations.

Preferred Qualifications & Additional Skills

  • Bilingual proficiency in Spanish, enabling you to serve a broader client base and improve outreach effectiveness.
  • Experience with data‑entry or case‑management systems similar to arenaflex (formerly Monday.com) and other nonprofit databases.
  • Knowledge of energy assistance programs such as LIHEAP, or familiarity with federal and state funding compliance requirements.
  • Exceptional organizational abilities, with a keen eye for detail and a systematic approach to file management.
  • Strong problem‑solving skills, capable of identifying discrepancies and proposing corrective actions.
  • Ability to multitask, prioritize competing demands, and meet deadlines in a fast‑paced environment.
