arenaflex is a forward‑thinking, technology‑enabled professional services firm that delivers legal, financial, and consulting solutions to a diverse portfolio of clients across the United States. While the firm’s roots lie in traditional practice, arenaflex has embraced a fully remote work model that empowers employees to thrive from any location, leveraging cloud‑based collaboration tools, secure virtual workspaces, and a culture built on trust, autonomy, and continuous learning. As a market leader in the remote‑first space, arenaflex is committed to hiring talent that not only possesses the technical chops to excel in a digital environment but also embodies the proactive, can‑do attitude that fuels innovation and client satisfaction.

Why This Role Matters

In today’s data‑driven economy, accurate and timely information is the lifeblood of every organization. As an Administrative Assistant & Data Entry Specialist at arenaflex, you will be the backbone of our operational efficiency, ensuring that critical client data, internal records, and project documentation are entered, organized, and maintained with precision. Your work will directly support senior attorneys, consultants, and sales teams, enabling them to focus on strategic decision‑making while you handle the essential details that keep the firm running smoothly.

Key Responsibilities

  • Enter, verify, and update client and case information in arenaflex’s CRM (Salesforce) and ERP (NetSuite) systems with a focus on accuracy and speed.
  • Conduct web‑based research using Google, industry databases, and public records to gather information that supports case preparation, market analysis, and internal reporting.
  • Prepare, format, and edit documents in Microsoft Word, OpenOffice, or Google Docs, ensuring consistency with arenaflex’s style guides and branding standards.
  • Generate and maintain spreadsheets in Microsoft Excel, including data cleansing, pivot tables, and basic formula creation to support financial tracking and performance dashboards.
  • Assist with customer billing cycles by processing invoices, reconciling payments, and addressing billing inquiries in a courteous and timely manner.
  • Organize, sort, and archive electronic and physical files, implementing a logical filing system that facilitates rapid retrieval for managers and auditors.
  • Collaborate with cross‑functional teams to draft reports, proposals, and procedural manuals, translating complex data into clear, actionable language.
  • Identify and troubleshoot data inconsistencies, escalating issues when necessary and proposing process improvements to enhance data integrity.
  • Participate in periodic audits of CRM/ERP data, ensuring compliance with internal controls and external regulatory requirements.
  • Support optional sales initiatives by providing research and data entry assistance for prospective client outreach, when interested.

Essential Qualifications

  • Associate’s degree (AA) in Business Administration, Office Technology, or a related field, or 3–5 years of proven experience in customer service, administrative support, or data management.
  • Demonstrated proficiency with Microsoft Office Suite—particularly Excel (formulas, tables, and basic data analysis) and Word (document creation and formatting). PowerPoint experience is a plus.
  • Hands‑on experience with CRM and ERP platforms such as Salesforce, NetSuite, or comparable systems; ability to navigate, input, and extract data efficiently.
  • Exceptional typing speed (minimum 60 WPM) with a high degree of accuracy, coupled with meticulous attention to detail.
  • Strong written communication skills, including grammar, spelling, and the ability to tailor tone for different audiences.
  • Proven ability to work independently, manage time effectively, and meet productivity targets without direct supervision.
  • Customer‑focused mindset with a track record of resolving client issues promptly and professionally.
  • Team‑oriented attitude, comfortable collaborating virtually with colleagues across multiple time zones.

Preferred Qualifications & Skills

  • Experience in legal or financial services environments, where confidentiality and data security are paramount.
  • Familiarity with cloud‑based collaboration tools such as Google Workspace, Microsoft Teams, or Slack.
  • Basic knowledge of data visualization techniques (charts, graphs) to present information clearly to stakeholders.
  • Exposure to strategic thinking processes—understanding how data supports organizational goals, market analysis, and competitive positioning.
  • Ability to draft concise business correspondence, proposals, and procedural documentation.
  • Interest in sales or business development, with a willingness to explore optional sales representative pathways within arenaxflex.

Core Competencies & Skills for Success

  • Analytical Problem Solving: Quickly identifies data discrepancies, investigates root causes, and implements corrective actions.
  • Strategic Thinking: Recognizes how day‑to‑day data entry contributes to broader business objectives and adapts processes accordingly.
  • Effective Communication: Articulates findings, writes clear reports, and presents information to managers, clients, and external partners.
  • Organizational Excellence: Manages multiple tasks, prioritizes workload, and maintains an orderly filing system.
  • Technology Agility: Learns new software tools swiftly, staying current with updates to CRM/ERP platforms.
  • Integrity & Confidentiality: Handles sensitive client data with the utmost discretion and adheres to privacy regulations.
