Position Summary: The Pre Admit Assistant provides administrative support to the perioperative services team by coordinating pre-admission communication with patients. This role is responsible for proactively contacting patients to schedule pre-admission calls, ensuring accuracy of information, and supporting efficient patient flow through strong organization, communication, and attention to detail. The Pre Admit Assistant plays a key role in creating a positive patient experience and supporting clinical team readiness. Position details Status Part Time Shift Days FTE / Hours 0.6 / 24 Schedule Mon - Fri: Three 8-Hour Shifts 8-430 No weekends/No holidays Work from home Position Requirements Education: High School Diploma or General Educational Development (GED) required. Associate's degree or professional administrative assistant training preferred Licensure: N/A Certification: N/A Experience: 1+ years of administrative or clerical experience required Previous medical office, administrative assistant, scheduling, patient access, or patient coordination experience preferred. Required Knowledge/Skills/Abilities Working knowledge of numerous software programs including Microsoft Office, Excel, Word, PowerPoint, and Outlook General knowledge of multi-phone lines, fax machine, copiers, printers and other general office equipment Experience coordinating schedules and managing patient appointments with a high degree of accuracy and follow-through Excellent organizational, multitasking, and attention-to-detail skills to manage multiple priorities in a fast-paced setting Strong communication and interpersonal skills to interact effectively with surgeons, nurses, patients, and administrative staff Ability to communicate with physician office staff to obtain required documentation and support the review of patient history, physicals, and lab results prior to surgery Ability to maintain confidentiality and comply with HIPAA regulations while handling patient information Ability to remain calm under pressure and adapt to changing priorities Essential Job Functions Contacts patients prior to surgery to coordinate and schedule pre-admission calls, ensuring timely outreach and completion of assigned work. Communicates clearly and professionally with patients by phone, gathers needed information, answers routine questions, and provides instructions related to the pre-admission scheduling process. Provides clerical assistance to the Pre-Operative Screening Nurses in the pre-operative telephone process, including accurate documentation, coordination of information, and support for efficient patient preparation. Provides faxing and basic lab screening support and makes telephone calls to physician office staff to obtain documentation necessary for RN review of patient history and physicals and lab service results prior to surgery. Maintains accurate patient demographic, scheduling, and documentation information in the electronic health record and other applicable systems. Creates and distributes daily hospitalists and anesthesiologists on-call email. Adapts to schedule changes and adjusts call assignments for sick calls and add-on cases. Employee is responsible for all other duties as assigned for which competency has been demonstrated. Physical requirements: This position is classified as Sedentary Work in the Dictionary of Occupational Titles, requiring the exertion of up to 10 pounds of force occasionally) up to (33% of the time) and/or a negligible amount of force frequently (33%-66% of the time) to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Must be able to pass background check. We also conduct pre-employment physical and drug testing.
