Key Responsibilities

  • Office & Facility Management (Remote & Hybrid)
    • Oversee daily office operations, including managing phone systems, greeting virtual visitors, handling mail, and coordinating weekly supply deliveries.
    • Maintain a well‑organized, safe, and compliant workspace for both on‑site and remote staff.
    • Act as the primary point of contact for building‑related issues, equipment procurement, and vendor negotiations.
  • IT Coordination & Support
    • Partner with external IT vendors to troubleshoot network and hardware issues, ensuring compliance with industry standards.
    • Manage cloud‑based platforms such as Monday.com, Adobe Creative Cloud, arenaflex Business, VoIP, Keeper Security, HRIS, Zoom, and other collaboration tools.
    • Develop and implement IT policies, oversee equipment lifecycle, and coordinate technology upgrades.
  • Project & Change Management
    • Lead implementation of operational initiatives, including process improvements, emergency response plans, and compliance audits.
    • Facilitate onboarding for new hires, delivering comprehensive office tours, technology training, and cultural immersion.
    • Support internal events such as weekly staff meetings, quarterly town halls, and virtual training sessions.
  • Data Management & Confidentiality
    • Ensure accurate entry, classification, and secure handling of sensitive data both on‑site and remotely.
    • Collaborate with the Compliance Officer to uphold data privacy standards and regulatory requirements.
  • Strategic Collaboration
    • Work closely with the Operations Director and Senior HR Manager to align operational goals with arenaflex’s broader mission.
    • Provide analytical support for internal projects, preparing reports that inform decision‑making and resource allocation.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Health Services Management, Information Technology, or a related field.
  • Minimum of three years’ experience in office administration, facilities management, or operations within a nonprofit or healthcare setting.
  • Demonstrated ability to manage multiple priorities, meet tight deadlines, and maintain high standards of accuracy.
  • Proficiency with Microsoft Office 365 suite (Outlook, Teams, SharePoint, Word, Excel, PowerPoint) and familiarity with cloud‑based workflow tools.
  • Strong written and verbal communication skills, with the ability to convey complex information clearly to diverse audiences.

Preferred Qualifications & Experience

  • Experience supporting community health centers, FQHCs, or similar public‑health organizations.
  • Background in change management, process redesign, or implementation of new software platforms.
  • Hands‑on experience with IT support, network troubleshooting, and hardware procurement.
