[Remote] Executive Administrative Assistant

They are seeking a highly organized Executive Administrative Assistant to provide administrative support to senior leadership, manage calendars, coordinate meetings, and assist with project management.

Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate appointments across multiple stakeholders
  • Organize, prioritize, and summarize incoming communications, including emails, meeting requests, and other correspondence
  • Coordinate virtual meetings, conference calls, and executive events, ensuring all logistics and materials are prepared in advance
  • Prepare agendas, meeting materials, presentations, and follow-up action items
  • Assist with travel arrangements and expense reporting as needed
  • Support day-to-day administrative operations and special projects for executive leadership
  • Track divisional initiatives, action items, and project timelines to help ensure priorities remain on schedule
  • Coordinate with internal teams and external partners to facilitate communication and follow-through on key initiatives
  • Maintain confidentiality when handling sensitive business information
  • Provide general administrative support to additional executives as business needs evolve

Skills

  • 1–2 years of experience in an administrative, executive assistant, coordinator, or related support role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize multiple tasks and manage competing deadlines
  • Self-motivated, resourceful, and comfortable working independently in a remote environment
  • Professional demeanor and ability to handle confidential information with discretion
  • Proficiency with Microsoft Office Suite and common business collaboration tools
  • Strong follow-up and project coordination skills
  • Experience supporting multiple stakeholders is a plus
  • Project management or project coordination experience is preferred but not required
  • Associate's or Bachelor's degree preferred
